Session 2: Project Creation and Setup

Goal: Learn to properly initialize a new project after it’s sold, ensuring that all setup information is accurate, complete, and aligned with project execution workflows.

Session Overview

Duration: 1 Hour
Format: Instructor-led (via Microsoft Teams or in-person)
Level: Beginner to Intermediate (Ideal for project managers, project admins, and engineers)

Learning Objectives

By the end of this session, participants will be able to:

  • Activate a new project and initiate standard workflows.
  • Enter project address, client contacts, and key contract information.
  • Assign project team members and define their roles in CUBE.
  • Establish project key dates and set contract milestone targets.

Session Agenda

 2.1 Activating Project Workflows
  • Locate and activate awarded estimates or manually create new projects.
  • Initiate project workflows:
    • Setup checklist (site info, contacts, contracts)
    • Assign work packages if applicable
    • Initiate internal project handoff process
2.2 Entering Project Address, Client Contacts, and Contract Details
  • Enter full project address with timezone and regional settings.
  • Add client contacts:
    • Project Manager (Client-side)
    • Site Supervisor
    • Accounting/Billing Contacts
  • Enter contract specifics:
    • Contract number
    • Contract value
    • Retainage terms
    • Warranty terms
2.3 Assigning the Team and Defining Roles
  • Assign project team members:
    • Internal PM
    • Lead Engineer
    • Field Supervisor
    • Billing Coordinator
  • Define user permissions and notification settings.
  • Importance of role clarity for smooth workflow notifications and reporting.
2.4 Setting Key Dates and Contract Milestones
  • Define:
    • Project start date
    • Project substantial completion date
    • Final acceptance date
  • Enter major contract milestones:
    • Equipment delivery
    • Rough-in completion
    • Final commissioning
  • Link milestones to dashboard tracking and alerts.

Hands-On Preview (Optional if time allows)

  • Create a sample project.
  • Enter a sample client and project address.
  • Assign a basic project team.
  • Setup 3 sample milestones tied to contract dates.

Post-Session Action Items

  • Review pending awarded projects and practice initial project creation.
  • Confirm role assignments align with internal organizational structure.
  • Set internal milestone standards (naming, frequency, alert levels).
  • Prepare for next session covering project task setup and scheduling (PM-03).
