Service Management
PART II: Preventive Maintenance & Contracts
Session 6A: Service Contract Estimation
Course Code: SVC-06A
Goal: Learn how to create service contract estimates within CUBE using both converted engineering data and manual entry, while aligning labor, site structures, and service site linkage for accurate forecasting and planning.
Session Overview
Duration: 1 Hour
Format: Instructor-led (via Microsoft Teams or in-person)
Level: Intermediate (Ideal for service estimators, engineers, and operations planners)
Resources Provided:
- Estimation Flow Diagram (Engineering to Service)
- Labor Import Template
- Contract Structure Overview Guide
- Service Site Linking Best Practices
- Sample Contract Estimate File
Learning Objectives
By the end of this session, participants will be able to:
- Navigate from the Engineering module to the Service Contract Estimation tools
- Create a service contract estimate by converting an engineering project or starting from scratch
- Link contracts to digitized service sites and import existing site structures
- Assign labor estimates manually or through template import
- Review and adjust the Labor Summary for contract accuracy and service deliverability
- Ensure that the estimate is tied to the correct systems, site details, and maintenance scopes
Session Agenda
6A.1 Navigating to the Service Contract Module from Engineering
- Access points from completed or in-progress engineering projects
- Using engineering deliverables as a foundation for contract estimating
- Benefits of linked workflows between project design and service planning
6A.2 Creating Contracts via Project Conversion or From Scratch
- Step-by-step walkthrough of converting a completed project into a contract estimate
- Mapping project components (systems, labor, assets) to service contract elements
- Creating a blank service contract estimate when project data is not available
- Naming conventions and internal reference structure
6A.3 Linking Contracts to Digitized Service Sites
- Selecting and assigning one or multiple service sites to the contract
- Mapping imported assets or zones to contract deliverables
- Using service site info to pre-fill contacts, equipment details, and site conditions
6A.4 Reviewing Auto-Transferred Project Structure
- Validating the system hierarchy and labor data transferred from engineering
- Removing unneeded systems or reclassifying service items
- Reorganizing service groups and aligning with operational service phases
6A.5 Assigning Labor Manually or via Template Bulk Import
- Direct labor entry: technician roles, hourly rates, frequency per task/system
- Using the labor import template to apply consistent estimating structures
- Assigning escalation levels and grouping by labor discipline
- Aligning labor types with preventive and reactive maintenance needs
6A.6 Reviewing the Labor Summary and Adjusting for Accuracy
- Navigating the Labor Summary view
- Checking totals by system, discipline, and location
- Adjusting for realistic coverage and balancing labor loads
- Coordinating with ops leads or service managers for review
6A.7 Linking Estimates to Service Sites and Importing Structures
- Finalizing contract ties to existing assets and PM structures
- Pulling in maintenance templates or assigning custom scope
- Confirming site-to-estimate sync and visibility in the Service Dashboard
6A.8 Exercise – Create a Service Contract Estimate
Participants will:
- Convert a completed engineering project into a service contract estimate
- Create a new estimate from scratch and compare structure
- Assign labor manually and via bulk import
- Link both contracts to service sites and complete structure validation
- Review the Labor Summary and submit the estimate for approval
Post-Session Action Items
To reinforce this session, participants are encouraged to:
- Identify completed engineering projects for potential service contract conversion
- Review and clean up labor templates for consistent estimating
- Audit service site structure and prepare for estimate linkage
- Build internal workflows between engineering and service estimating teams
- Submit a sample contract for team review and signoff
