Session 7: Change Orders, RFIs, and Punch Lists

Goal: Maintain control over changing project conditions by properly managing Change Orders, RFIs, and Punch Lists, while using dashboards to monitor project health.

Session Overview

Duration: 1 Hour
Format: Instructor-led (via Microsoft Teams or in-person)
Level: Intermediate to Advanced (Ideal for project managers, engineers, and field supervisors)

Learning Objectives

By the end of this session, participants will be able to:

  • Create and track Change Orders with financial implications.
  • Manage Requests for Information (RFIs) centrally within projects.
  • Create, assign, and close Punch List items.
  • Use dashboards to visualize and manage open issues and project trends.

Session Agenda

7.1 Creating and Tracking Change Orders
  • Create internal and external Change Orders.
  • Assign financial impact values and scope adjustments.
  • Link Change Orders to original contract value and SOV (if applicable).
  • Track approval status and document attachments.
7.2 Managing RFIs Centrally Across Projects
  • Submit new RFIs from field or office.
  • Assign reviewers internally or externally.
  • Track responses, due dates, and impact notes.
  • Use RFI logs to monitor outstanding clarifications.
7.3 Creating Punch List Items and Closing Tasks
  • Add Punch List tasks:
    • From field mobile app
    • During project closeout walkthroughs
  • Assign Punch List items to responsible parties.
  • Track status (open, in review, closed).
  • Attach photos, notes, and deadlines.
7.4 Using Dashboards to Visualize Workload and Trends
  • Overview of Project Health Dashboards.
  • Monitor open Change Orders, RFIs, Punch List items.
  • Identify at-risk projects based on trends.
  • Export dashboards for internal or client reporting.

Hands-On Preview (Optional if time allows)

  • Create a Change Order and track approval stages.
  • Submit a sample RFI and simulate response logging.
  • Create and close a Punch List item via mobile.

Post-Session Action Items

  • Standardize Change Order and RFI submission formats.
  • Set deadlines for Punch List clearance per project phase.
  • Review open issues weekly via dashboards for project health meetings.
