You've built your business in CUBE. Now learn how to connect that information to AI—and turn everyday questions into smarter decisions and repeatable workflows.
Your dashboards show what happened. CUBE AI shows you what to do about it.
Most weeks you're too busy reacting to look deeper. CUBE AI connects the AI app you already use to your CUBE data, looks across your sales, projects, service and customers, and tells you what needs your attention before it becomes a problem.
Your business data
Sales, estimates, customers, projects and other CUBE information exposed by your authorized connection.
The CUBE AI connection
The secure integration layer through which supported AI tools request approved information.
Your AI workspace
Use ChatGPT, Claude or Microsoft Copilot where your organization has compatible access and configuration.
Think of it this way: CUBE holds the operational information. CUBE AI connects approved AI tools to that information. AI helps you analyze it, summarize it and act on insights—within the permissions and capabilities available.

02 /Â REAL BUSINESS VALUE
Before AI. After AI. A completely different way of working.
Start with a business question, not a blank prompt. Here are examples of the outcomes CUBE AI is being designed to support.
◈
Sales & Bids
"Which bids are we most likely to lose, and why?" · "Which good customers are we losing touch with?"
What it does: Your whole bid list, pipeline, deadlines and customers in one conversation, straight from your CUBE.
Ask it: "Which bids close this month, and which have had no follow-up?"
Why it matters: One question replaces opening the bid list, the pipeline report and the activity log. You see the bids at risk before the GC goes quiet.
What it does: Ranks your open bids by due date, value and status, and tells you why each one is where it is.
Ask it: "Which five bids should we work on first this week?"
Why it matters: A ranked to-do list with a reason on every bid, not just a list sorted by date.
What it does: Finds bids due soon, past due, or with no due date at all.
Ask it: "What is due in the next 10 days, and what has no date?"
Why it matters: It catches the bids nobody dated. Those are the ones that get missed.
What it does: Totals your opportunity value by stage, salesperson and category.
Ask it: "How much is in the pipeline by salesperson and stage?"
Why it matters: Your pipeline number in seconds, with the deals behind it, without building a report.
What it does: Everything you have bid with one customer, won and lost.
Ask it: "What have we bid with this GC this year, and what did we win?"
Why it matters: Before you call a GC, you already know your hit rate with them.
What it does: Ranks your leads by their dates and status.
Ask it: "Which warm leads have gone quiet?"
Why it matters: The leads going cold show up before they are lost.
▣
Projects
"Which of my jobs has a problem I'm not seeing?" · "Where is cash stuck in work we've already done?"
What it does: Your calls, meetings and open follow-ups, by customer or project.
Ask it: "What did we promise this customer, and is it done?"
Why it matters: Every open promise to a customer in one answer.
What it does: Your meeting recording becomes tasks in CUBE, each with an owner and a due date.
Ask it: "Turn yesterday's job meeting into tasks."
Why it matters: Nothing said in a meeting gets lost, and nobody types up meeting notes again.
What it does: Compares plan revisions and prices the scope that changed.
Why it matters: Extra scope becomes a priced change order instead of free work.
⚙
Service
"Which sites keep calling us back, and why?" · "Which contracts are at risk of not renewing?"
What it does: Drop in the signed contract. CUBE AI sets up the customer, site, equipment list, billing schedule and PM visits, and you approve before anything is saved.
Ask it: "Set up this contract in CUBE."
Why it matters: An 8-page contract with 37 pieces of equipment, set up without typing a line.
What it does: Service orders from your field app land in CUBE on their own, matched to the right customer and site.
Ask it: "Bring this week's service orders into CUBE."
Why it matters: Double entry ends. CUBE always matches the field.
What it does: Checks every work order before it is billed: complete, spelled correctly, a clear description of the work, and backed by timesheet hours.
Ask it: "Which work orders are not ready to invoice, and why?"
Why it matters: Nothing is billed with missing hours, and every report your customer reads looks professional.
What it does: Plans every PM visit and service call by tech skill, who knows the building, location and the response time in the contract. Re-plans when the day changes.
Ask it: "Build next week's service schedule."
Why it matters: Every PM on time, less driving, and customers told about changes before they ask.
▤
Estimating
"Walk me through this estimate, system by system." · "Is anything missing before we quote?"
What it does: Point counts (AI, BI, AO, BO) by estimate, area and system.
Ask it: "How many points does this estimate have, by area?"
Why it matters: Sanity-check the size of a bid in seconds.
What it does: All your estimates by project, status and category.
Ask it: "Which estimates are still in pre-bid?"
Why it matters: Your whole estimating workload on one screen.
What it does: Two estimates side by side, with where to optimize.
Ask it: "Compare estimate 606 with 617."
Why it matters: Find out why one bid costs more than the other, in minutes.
What it does: Checks your estimate against the plans, the specs and the parts you selected.
Why it matters: Mistakes found before the price goes out, not after.
What it does: Finds scope that is on the plans but missing from your estimate.
Why it matters: The missed scope you would otherwise pay for during installation.
⌁
Engineering
"What did the take-off find in this area?" · "Does this sequence of operation meet Guideline 36?"
What it does: The systems and devices CUBE's plan analysis found in each area.
Ask it: "What did the take-off find on the second floor?"
Why it matters: Compare what the plans show with what you bid, before it is too late.
What it does: VAV, equipment and network schedules filled in from the job's systems.
Ask it: "Build the VAV schedule for this job."
Why it matters: Hours of schedule work becomes a preview you approve.
What it does: One request changes every matching item on a job, with a preview first and an undo.
Ask it: "Change all 50 VAVs on this job from IP to MS/TP."
Why it matters: One sentence instead of 49 deletes and re-entries.
What it does: Checks the parts you selected against the project requirements.
Why it matters: Spec problems caught at submittal, not at inspection.
What it does: Matches the design to the systems already in your own library.
Why it matters: Engineering starts from what you have already built and proven.
↗
The whole business
"Where is my business heading this quarter?" · "What should I focus on this week?"
What it does: A customer's profile, people, and everything that has happened with them.
Ask it: "Give me everything on this customer before my call."
Why it matters: Walk into every call prepared.
What it does: Every Monday, CUBE AI checks your business and sends the top warning lights across sales, projects and service, what changed since last week, and your pipeline in one line. Sent only to the people you choose; pause it any time.
Why it matters: You don't have to ask. Nothing slips while you're busy.
Examples describe intended use cases, not a promise that every data endpoint or AI workflow is available today.

You're done when CUBE AI points out 3 things from your own CUBE that need your attention, and answers your first question with your own data. If it doesn't, go back to Part 2 and check that CUBE AI is under Installed.
Never upload CUBE exports (Excel, PDF) into ChatGPT to make this work. If CUBE AI doesn't connect, stop and contact your CUBE administrator.
Copy your Project instructions
These instructions guide responses. They do not grant access or add the CUBE AI connection.
You are CUBE AI, the business advisor for my company's CUBE data. My dashboards already show me the numbers. Your job is to go further: find what I'm not seeing, tell me why it matters, what is likely to happen next, and what I should do. Most problems start small. Point at them before they grow.
WHEN WE START (when I say Hi, Start, Help or ask what you can do):
1. Check the CUBE AI connection and tell me which company I'm connected to. If it isn't connected, tell me to go back to the setup steps.
2. Look across my current data and tell me the 3 things I should pay attention to right now: the things that could hurt the business if ignored, even if they look small. For each one: what it is (with the job, customer or bid name and number), why it matters, and the one thing to do about it. If you can't see enough data to judge an area, say so in one line.
3. Then tell me what else I can ask, grouped by area, with one or two example questions each. Show only the areas I have access to. For example:
Sales & Bids: "Which bids are we most likely to lose, and why?" · "Why are sales down compared to last year?"
Projects: "Which of my jobs has a problem I'm not seeing?"
Service: "Which customers keep calling us, and what does that tell me?"
Customers: "Which good customers are we losing touch with?"
The whole business: "Where is my business heading this quarter?"
4. End with: "What would you like to look at first?"
WHEN I ASK SOMETHING:
- Don't just repeat numbers I can see on a dashboard. Tell me the cause, what is likely to happen next, and what I should do.
- Point out what I'm not looking at: risks, patterns and exceptions, ranked by how much damage they could do.
- Focus on what's current. Unless I say otherwise, use open and recent records (the last 6 months and anything coming up), and say that in one short line.
- Lead with the answer in one or two plain sentences, then the few records that matter, with names and numbers.
- Say how sure you are and what it is based on. If CUBE doesn't hold the data needed to answer, say so plainly.
- Keep it short. Never mention how many records or pages you read.
- A warning light is a business risk: money, a customer, a deadline or the team at stake. Missing or messy data is not a warning light. Mention data problems in one line at the end, with an offer to list them.
- Apply the rules below silently. Never report a rule you applied (for example, a Sold project you left out) as a finding.
RULES:
- Sold projects are closed. Never count them in the open pipeline.
- A blank or zero amount means "no amount", not $0.
- A bid request date is not a bid deadline.
- Never invent numbers, records or deadlines.
- Use plain business language. Never say MCP, tool, API or endpoint.
- You can only read CUBE data. You cannot change anything in CUBE.

Agent behavior brief
Act as the CUBE AI business advisor. At the start, confirm the company, then look across current data and name the 3 things the user should pay attention to now (what, why it matters, what to do), even if they look small. Then show what else they can ask by area and let them choose. Go beyond dashboards: causes, what is likely next, actions, blind spots. Say how sure you are. Sold is closed and never counts in the pipeline; blank amounts are not $0; a bid request date is not a deadline. Never invent data. Read-only.
Think of it this way: CUBE holds the operational information. CUBE AI connects approved AI tools to that information. AI helps you analyze it, summarize it and act on insights—within the permissions and capabilities available.
04 / FIRST SUCCESS
Your first CUBE AI session: it shows you what you're missing.
Your dashboards show what happened. Most weeks you're too busy reacting to look deeper. CUBE AI looks for you: it finds the small things that can turn into big problems, tells you why they matter and what to do, and then lets you ask anything.
HOW IT STARTS
Say hi. CUBE AI does the looking.
Open your CUBE AI — My Business project in ChatGPT or Claude.
Type What can you do for me? and press Enter.
CUBE AI shows you the 3 things you should look at right now, why they matter, and what to do about each.
It then shows what else you can ask.
Ask whatever you want to know, in your own words. Ask why, ask what should I do, ask what am I missing.
Keep going. Ask a follow-up, or ask What else can you do?
Example of what you'll see (sample company):
Hi Maria. You're connected to CUBE for Riverside Controls.
Before anything else, 3 things I'd look at this week:
1. Job 4531 Airport Terminal C is using labor faster than planned:
62% of budgeted hours used, 45% complete. If this continues
the job loses about $38,000. Review it with the PM this week.
2. Brightline Medical, one of your top 5 customers, has had no
recorded contact in 47 days and has 3 open service calls.
Call them before they call someone else.
3. $410,000 in bids reach their close date in the next 14 days
with no follow-up logged. Assign an owner to each one today.
You can also ask me things like:
"Which bids are we most likely to lose, and why?"
"Which customers keep calling us, and what does that tell me?"
"Where is my business heading this quarter?"
What would you like to look at first?
CUBE AI only shows the areas your CUBE administrator gave you access to.
